Booking Confirmation Your booking is confirmed only after you receive a confirmation from us. Please provide accurate personal and travel details. 2. Prices & Payment: Prices are in EUR and include applicable taxes unless stated otherwise. Payment is required as specified during booking. Until full payment, your booking is not guaranteed. 3. Cancellation & Changes: Hotels & Apartments: Cancellation fees depend on the property and rate. 4. Airport Transfers: Cancel at least 24 hours in advance to avoid charges. Changes to bookings are subject to availability and may incur extra fees. 5. Liability We act as an intermediary between you and service providers. We are not responsible for service issues caused by hotels, apartment owners, or transport companies. Ensure you have valid travel documents, meet local requirements.International passport that has at least 6 (six) months of validity and necessary visas. 5.1 Data Protection: Your personal data is processed according to GDPR and used only for bookings and communication. 6. Governing Law: German law applies. Disputes are handled in Saarbrücken, Germany. 7. Professional Liability Insurance: R+V Versicherung AG, Raiffeisenplatz 1, 65189 Wiesbaden. This cancellation and refund policy applies to Hotel & Apartment bookings made online, by email, via WhatsApp, or by phone through the GQ Travel & Hotels website and sales channels. 2. Non-Refundable Rate Bookings made under a Non-Refundable rate cannot be cancelled or modified. 100% of the total booking amount will be charged No refunds in case of cancellation, no-show, or early departure. 3. Refundable Bookings – 24 Days & 14 Days Before Check-in For bookings marked as Refundable, the following conditions apply: Free cancellation up to 24 days before the scheduled check-in date Free cancellation up to 14 days before the scheduled check-in date (depending on the selected rate) After the applicable free cancellation period: 100% of the total booking amount will be charged The booking becomes non-refundable, including in cases of no-show or late cancellation 4. Advance Bookings (84 Days or More in Advance) Bookings made 84 days or more before the scheduled check-in date may be cancelled free of charge up to 28 days before the check-in date. Any cancellation made after this period: Will be charged 100% of the total booking amount Will be treated as non-refundable 5. General Conditions: Cancellation deadlines are calculated based on the local time of the accommodation Refunds, where applicable, will be processed using the original payment method. Processing times may vary depending on the payment provider 6. Checkout / Booking Confirmation - Cancellation Policy (Summary): Non-Refundable Rate: No refund after booking. Refundable Rates: Free cancellation up to 14 days or 24 days before check-in (as selected). 7. Early Booker (84+ days in advance): Free cancellation up to 28 days before check-in. After the applicable free cancellation period, 100% of the booking amount will be charged. No refunds for no-shows or late cancellations. This cancellation and refund policy applies to all Hotel & Apartment bookings made with GQ Travel & Hotels, including bookings made online, by email, via WhatsApp, or by phone. 8.1 Non-Refundable Rates Bookings confirmed under a Non-Refundable rate are final. Once the booking is confirmed: The total booking amount becomes immediately due. No cancellation, modification, or refund is permitted. No refunds will be issued in cases of cancellation, no-show, late arrival, or early departure. 8.2 Refundable Rates (14 Days / 24 Days) For bookings confirmed under a Refundable rate: Free cancellation is permitted up to 14 days or 24 days before the scheduled check-in date, depending on the rate selected at the time of booking The cancellation deadline is calculated based on the local time of the accommodation 8.3 Any cancellation made after the applicable deadline: Will result in a charge of 100% of the total booking amount. Will be treated as non-refundable. 9. Advance / Early Booker Rates (84 Days or More in Advance) Bookings made 84 days or more before the scheduled check-in date qualify as Early Booker reservations. Free cancellation is permitted up to 28 days before the scheduled check-in date Any cancellation made after this period will be charged 100% of the total booking amount and becomes non-refundable 10. No-Show Policy If the guest fails to arrive at the accommodation on the scheduled check-in date without prior cancellation: The booking will be classified as a no-show, 100% of the total booking amount will be charged. No refund will be issued 11. Refund Processing Where a refund is applicable: Refunds will be processed using the original method of payment. Processing times may vary depending on banks and payment service providers Any transaction or bank fees are non-refundable unless required by law. 12. Force Majeure No refunds are guaranteed in cases of force majeure (including but not limited to natural disasters, strikes, pandemics, government restrictions, or airline disruptions), unless otherwise required by mandatory law or explicitly agreed in writing by GQ Travel & Hotels. 13. Customer Obligations: The customer must provide correct flight data, address details, and a reachable phone number. GQ Travel & Hotels is not liable for delays caused by incorrect information, customs, immigration, or baggage delays beyond the included waiting time. 14. Jurisdiction: German law applies. Place of jurisdiction is Saarbrücken, Germany, where legally permissible. 15. Payment Provider & Chargeback Protection Clause (Stripe / PayPal / Online Banking / Cash with Invoice) The customer expressly agrees that charges resulting from cancellations, no-shows, waiting times, or flight-related delays are contractually owed. These terms apply as binding contractual obligations and may be enforced in payment dispute or chargeback procedures. 16 Checkout Consent Checkbox: Clear, explicit customer consent. By completing your booking, you confirm that you have read, understood, and agreed to this cancellation and refund policy. 3. Flight Delays & Waiting Time: Airport Pick-ups: Up to 60 minutes free waiting time after actual landing time (flight details required). After 60 minutes, waiting time may be charged at €20 per 30 minutes or part thereof. Delays exceeding 120 minutes may result in cancellation of the transfer, with 100% charge remaining payable. 3.1 Passenger Delays & No-Shows. Passengers must be present at the agreed pick-up location. Failure to appear within 30 minutes constitutes a no-show. No-shows are non-refundable and charged at 100%. 3.2 Non-Airport Pick-ups, 15 minutes free waiting time included. Additional waiting time charged at €10 per 15 minutes. 4. Flight Cancellation Clause: If a flight is cancelled: The customer must immediately inform GQ Airport Shuttle. If notice is given more than 24 hours before pick-up, the booking may be rescheduled once free of charge. 4.1 If notice is given less than 24 hours before pick-up, the booking is treated as a late cancellation and 100% of the transfer price is payable. 5. Customer Obligations: The customer must provide correct flight data, address details, and a reachable phone number. GQ Airport Shuttle is not liable for delays caused by incorrect information, customs, immigration, or baggage delays beyond the included waiting time. Airport Pickup Policy Customers are required to notify us via WhatsApp or Email immediately after flight take-off. This notification enables timely coordination of airport pickup services. In the event of failure to provide this information, delays in airport pickup may occur. The company shall not be held responsible for late pickup resulting from missing or delayed notification. Maximum waiting time at the airport is 60 minutes. After this period, the service may be considered completed without Refund. Additional waiting time may incur extra charges. 6. Liability: Liability is limited to intent and gross negligence. Liability for missed flights or appointments due to customer fault or force majeure is excluded. 7. Jurisdiction: German law applies.
